Terms and Conditions

These terms apply to every enquiry, quote and booking made through Fix Departures, the B2B group booking platform operated for travel agents and trade partners. By registering or submitting an enquiry you agree to them on behalf of your agency.

Who can use the platform

Fix Departures is available to registered travel agents and trade partners only. We do not sell directly to travellers. Agency accounts may be asked for business details (PAN, GSTIN and supporting documents), and access can be suspended if the details provided are incomplete or incorrect.

Enquiries and quotes

  • Submitting an enquiry does not reserve seats or hold a fare.
  • Every quote states its fare, taxes, terms and validity. Once the validity lapses, the fare and availability must be reconfirmed.
  • Each revision of a quote is saved as a new version; the version you accept is the one that applies.

Payments

  • Bookings can be paid from your agency wallet or online through our payment gateway.
  • Wallet top-ups by bank transfer are credited after the receipt is verified by our accounts team.
  • Where part-payments are agreed, every instalment must be paid by its due date. Missing a due date may release the seats held for your group.

Booking confirmation and tickets

A booking is confirmed only when payment has been received in full and the airline PNR has been recorded. Tickets and documents are uploaded to your agent panel once they are issued. You are responsible for checking every passenger name, date and sector as soon as the documents are available.

Changes, cancellations and refunds

  • Changes and cancellations are subject to the fare rules of the operating airline and to any charges it applies.
  • Group fares are frequently non-refundable once ticketed. The applicable rules are shown on the quote.
  • Approved refunds are credited to your agency wallet or to the original payment method, less any airline or gateway charges.

Your responsibilities

Your agency is responsible for passenger details, travel documents, visas and health requirements, and for passing these terms and the airline conditions on to your travellers.

Liability

We act as a booking consolidator between your agency and the airlines. Schedule changes, delays and cancellations made by an airline are governed by that airline’s conditions of carriage.

Changes to these terms

We may update these terms from time to time. The version published on this page at the time of your booking applies to it.
